Studio Coordinator

Job Title:  Studio Coordinator 

Reports To:  Operations Manager 

Status: Full-Time 

FLSA Status: Exempt 

SUMMARY 

Our client is seeking a highly organized and proactive Studio Coordinator to assist with the day-to-day management of our studio facility in Sunnyside, NY. In this role, you will provide essential support across studio operations, including tenant relations, facility maintenance, and administrative functions. The ideal candidate will have strong communication skills, the ability to coordinate production logistics, and a knack for ensuring a smooth operation in a fast-paced environment. 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: 

Facility Operations Support: 

  1. Assist in overseeing the daily operations of the studio, including office spaces, meeting rooms, sound stages, and common areas. 

  1. Coordinate with tenants and production crews to ensure their facility needs are met efficiently, including space setups and equipment requests. 

  1. Support the management of parking arrangements for tenants and productions, including VIP parking, trailers, catering, and work trucks. 

  1. Assist in maintaining a clean and organized environment, coordinating with janitorial and maintenance vendors. 

  1. Support the studio team with site inspections, ensuring all areas meet safety and operational standards. 

Tenant and Production Support: 

  1. Act as a point of contact for tenants, helping with facility-related inquiries and requests. 

  1. Assist in processing tenant move-ins and move-outs, ensuring all communication and logistics are handled smoothly. 

  1. Help manage and maintain tenant files, ensuring all necessary documentation (leases, amendments, insurance certificates) is collected and up-to-date. 

  1. Support production teams by ensuring timely responses to their requests and providing logistical assistance. 

Administrative Functions: 

  1. Assist with the processing of invoices, purchase orders, and tenant bill-backs. 

  1. Help with the preparation and submission of documentation for annual operational audits. 

  1. Provide general administrative support to the operations team, including maintaining office supply inventories, handling mail, and organizing staff lunches. 

  1. Manage front desk duties, including answering the main studio phone line and greeting visitors. 

  1. Organize and assist with scheduling for meetings and maintaining the studio calendar. 

Team Coordination: 

  1. Collaborate with the Operations Manager and other team members to ensure studio operations are running efficiently. 

  1. Assist with coordinating the studio's maintenance and repair schedules. 

  1. Support with the daily organization of tasks and ensure team members are kept informed of their responsibilities. 

SKILLS AND QUALIFICATIONS REQUIRED 

  • Bachelor’s degree or at least 3 years of relevant experience in studio operations, facilities management, or a related field. 

  • Excellent organizational skills with a strong ability to prioritize and manage multiple tasks simultaneously. 

  • Proficiency in G-Suite, MS Office (Word, Excel, Outlook), and other office software. 

  • Strong verbal and written communication skills. 

  • Ability to work effectively with tenants, vendors, and production crews. 

  • Ability to adapt to changing needs in a fast-paced environment. 

  • Ability to lift up to 50 lbs. 

  • Flexible schedule, including the ability to work evenings and weekends as required.
